Bookkeep Notifications

Here we discuss what notifications are and how they can help you maintain the health of your entities

Bookkeep notifications is a new feature designed to enhance your visibility into any issues affecting your various entities. This tool provides a convenient way for you to address these issues promptly. The notifications are accessible at the user level, allowing you to view all notifications related to the entities you are associated with. This feature enables you to efficiently review any outstanding matters on a daily basis, ensuring the smooth flow of financial data from your source applications to your accounting platform.

Note: Bookkeep users with the role of Staff VIEW Only for an entity will not have access to the entity's notifications as they do not have the ability to update or modify any of the notification issues.

Below is an empty state when there are no pending notifications for this customer:

When you visit the Bookkeep Notifications page, the system automatically shows any pending notifications that require your attention. This means you can quickly address any outstanding issues without having to search for them. If you want to view notifications that have already been resolved or ignored, you can adjust the State filter at the top of the page. This allows you to have a comprehensive view of all notifications, giving you better control over managing the issues affecting your entities.

 Use cases:
There are currently 2 notification types that are generated. 

  1. App or accounting platform disconnected and needs to be connected 
    The first notification is related to an app or accounting platform needing to be reconnected. This notification typically occurs when there is a disruption in the connection between your source applications (e.g. Square, Shopify, etc.) and your accounting platform (e.g. QuickBooks, Xero, Zoho), hindering the smooth flow of financial data. Below is an example where eBay needs to be reconnected. You can see that each row in the notifications view has an Action to enable easily solving the problem without leaving this view. In this case, clicking "Reconnect" will open the window to reconnect eBay:
  2. Chart of accounts mapping required for a line/category to enable posting to accounting

    The second type of notification Bookkeep offers is an alert when a line/category within your journal entry mapping needs to be mapped to your chart of accounts. Mapping these elements correctly is crucial for enabling accurate posting to your accounting platform. You will receive a separate notification per required line that must be mapped (e.g. 5 lines needing to be mapped will result in 5 notifications). Below you will see 2 notifications indicating that 2 lines on the Amazon deposit need to be mapped to the chart of accounts to enable posting to accounting. Clicking "Map" in the Action column will open a window to complete the mapping:

As you resolve each notification, Bookkeep will update the specific notification state to "Resolved" and it will no longer appear in the view (if the state is filtered to pending).

Filters

For Bookkeep Notifications, you can filter at the top of the view to Entity, State, and Type. The Entity dropdown allows you to filter to a specific entity and only see that entity's notifications.

The Type filter allows you to see notifications related to the use cases mentioned above (e.g. app/accounting needs to be reconnected).

The State filter allows you to see Pending, Ignored, and Resolved notifications.
  • Pending notifications still require action to resolve the issue.
  • Resolved notifications do not require any further action as the problem has been solved.
  • Ignored notifications have been ignored but not resolved. If you simply ignore a notification without solving the root cause, the issue will likely persist. For example, if you ignore reconnecting your accounting platform, Bookkeep will not be able to post financial data into your accounting platform.

As notifications are resolved, the time at which the notification was resolved will be captured and displayed as shown below in the Actions column:

In essence, the Bookkeep Notifications view operates at the user account level, providing a comprehensive overview of all notifications for your entities in a single glance.
