Bookkeep User Types

Bookkeep enables you to set a member of your company to a set of permissions and below we cover the different types

Bookkeep offers the ability for you to invite someone to your company. As a part of this you can select the role of the user as well as the entities that they gain access to. One thing to note is admins and primary admins, by default, get access to all entities in the company. 

Below cover the different user types and their differences:

  • Primary admin
    • This is the user who created the entity as you cannot set another user to this role (if this is needed, contact support@bookkeep.co)
    • There can only be 1 per company
    • A primary admin has all rights and controls for all entities in the company
    • When compared to an admin, the primary admin can delete users from a company and can delete entities from a company.
    • A primary admin can complete every operation for a company - there are no limitations.
  • Admin
    • There can be many admins per company
    • An admin will have access to all entities in the company
    • Admins have all permissions except the ability to delete users from a company as well as delete entities from a company
    • Beyond the deletion of users or entities, the admin can do everything else
    • An admin can manage adding entities, billing for entities, adding users, adding apps or accounting platforms, etc.
  • Staff - Entity Admin
    • There can be many per company. 
    • For these users, you must choose entities to grant access
      • You can select one to all entities
    • This role can only view or manage billing for the entities selected
      • If the company has a company level payment method, this role cannot change that payment method (e.g. they cannot view company settings)
      • If the entity has its own payment method, this role can change the payment method (e.g. this role can view and change entity settings)
    • This role cannot add entities to the company
    •  This role can add, change or delete app connections
    •  This role can run history or import historical financial data
    • This role can manipulate mappings or the posting of financial data
    • This role cannot add users to a company
  • Staff View and Manage Users
    • There can be many per company. 
    • For these users, you must choose entities to grant access
      • You can select one to all
    • Staff View and Manage Users cannot view or manage billing for company/entities
    • Staff View and Manage Users cannot add entities
    • Staff View and Manage Users can add, change or delete app connections
    • Staff View and Manage Users can run history
    • Staff View and Manage Users can manipulate mappings or posting of financial data
    • Staff View and Manage Users cannot add users to a company
  • Staff View Only Users
    • There can be many per company. 
    • For these users, you must choose entities to grant access
      • You can select one to all
    • Staff View Only Users cannot view or manage billing for company/entities
    • Staff View Only Users cannot add entities
    • Staff View Only Users cannot add, change or delete app connections
    • Staff View Only Users cannot run history
    • Staff View Only Users cannot manipulate mappings or posting of financial data
    • Staff View Only Users cannot add users to a company
    • Essentially, Staff View Only Users have access to view app connections and financial data without editing anything
